Members: one complete profile for everyone who trains
Every member gets a single profile with their details, KYC, health notes and injuries, documents and a full timeline. From there you can enrol, renew, freeze or upgrade a plan in a few clicks. Plans are flexible: monthly, quarterly or yearly memberships, joining fees, add-ons and personal-training packages, each with GST handled for you. If a member upgrades mid-plan, the unused part of the current plan is credited towards the new one. You can also import your existing members from a CSV file, so you do not start from zero.
GST billing and payments that match how your front desk works
- Clean GST invoices in seconds, with CGST, SGST and IGST heads, PDF invoices and per-branch, per-year invoice numbers.
- Every way members pay: cash, UPI, card and Razorpay payment links, with part-payments, refunds and a daily cash book.
- Credit notes and outstanding dues, with the oldest unpaid invoices listed first.
- GSTR-1 working as a CSV download, so your accountant gets what they need at filing time.
Attendance: know who is in the gym right now
Members can check in with a QR code, a card or manually at the desk, and the dashboard shows a live "in gym now" count and your peak hours. You decide the rules: block entry for expired members, block entry for members with overdue invoices, or allow a grace period after expiry. Staff attendance and weekly shifts are tracked too.
Equipment care that never slips
This is where many gym tools stop, and where EverythingFit goes further. Every machine and asset sits in a register with QR tags, from purchase to disposal. You can set up preventive schedules by calendar or by usage hours, and tickets are raised automatically every morning. Members and staff can report a faulty machine by scanning its QR code. You also see maintenance cost and downtime per asset, vendors, warranty and AMC alerts, and spare parts with their costs.
Trainers, classes and programs

Fill the gym and keep it full
A lead pipeline tracks walk-ins, calls and website enquiries from first contact to joining, and a public join form lets prospects leave their details. Automatic messages go out by WhatsApp, SMS and email: membership expiry reminders, overdue payment reminders and birthday wishes. You can also send a message to a group of members, and a log records everything the system has sent. A list of active members who have not visited in 14 days tells you exactly who to call.
Numbers that grow your gym
The dashboard shows collections, dues, renewals, attendance and peak hours at a glance, and you can switch between branches. A daily summary is emailed to the owner every morning, and trainer and equipment reports are one click away.
A member portal in every pocket
Members open the portal from their phone browser and sign in with an OTP. They get a digital card with a QR code to scan at the front desk, along with their plans, invoices and visit history.
An optional supplement shop
If you sell protein and supplements, switch on the protein store. It adds a product catalogue with flavour and size variants and GST, batch and expiry tracking with low-stock alerts, and barcode scanning at the counter. Members can order online with delivery or pickup, set up repeat deliveries and earn reward points. If you do not sell supplements, leave it off and it stays out of your menus.
Built for more than one gym
